2.2  For “badged access” events we may collect information about your location and engagement with the event. For instance, for certain events access will be granted via a badge which holds your registration details including personal information. You will be required to use your badge to gain access to the event. In this situation we will collect information about when you enter the event, and which sponsors you have engaged with.

 

2.3  This information may also be collected by a third-party website analytics service provider on our behalf and/or may be collected using cookies. For more information on cookies please refer to paragraph 10.

 

 

3.     INFORMATION WE RECEIVE FROM THIRD PARTIES

 

3.1  We may collect information about you from third parties that we work closely with for the purposes of delivering to you the services that you request from us. For example, we may engage with third parties to assist us with our online event registration systems or payment systems; these entities will collect information directly from you on our behalf.

 

3.2  We may engage third parties to operate event websites on our behalf; these entities will collect information directly from you about your visit to the website on our behalf.

 

3.3  We may also receive information about you from third parties where you have consented to such third party sharing your information with us.

6.     HOW AND WHERE DO YOU STORE OR TRANSFER MY PERSONAL DATA?

 

6.1  All information that we collect from you is stored within the European Economic Area (EEA) but may also be transferred and processed in countries outside of the EEA.  All such transfers of your personal data will be in accordance with applicable laws. Your data is stored securely using pseudonymisation and GDPR compliant cloud-based storage.

7.     HOW LONG WILL YOU KEEP MY PERSONAL DATA?

 

  1. We retain your information for a range of purposes which determine the period of time for which we need to keep such information. We will only retain your personal data for as long as we have your consent to do so, or for as long as is necessary for us to provide you with our services or fulfil the purposes for which we collected the information. Most of your personal data will be retained during the course of your relationship with us. We will remove your data from our systems at the end of the applicable data retention periods unless we are required by the law to retain your personal information for a longer period e.g. we are required to keep certain information for audit and tax purposes in which case we hold personal data for up to 6 years.

Where you request access to your personal data we will always ask you to provide us with of appropriate evidence of your identity. We will usually accept a photocopy of your passport certified by a solicitor/bank, together with an original copy of a utility bill showing your current address.

 

8.3  Some Exemptions to these rights    There are exemptions to these rights, for instance we may refuse you access to the data   you require if it would reveal personal data about another person or if we are prevented from disclosing such information by law.

9.1  In those cases where we need your consent to process your information we will ask you to make a positive indication (e.g. to tick a box or append your signature to accept a quote that has been emailed over to you). By  providing us with your positive consent, you are stating that you have been informed about the type of personal information that will be processed, the reasons for the  processing, how it will be used,  how long it will be kept, who else will have access to it and what your rights are as a data subject and that you have read and understood this Privacy Notice.

13.1                 We have a Social media policy for our social media platforms. Whilst we may have official profiles on social media platforms, you are advised to verify authenticity of such profiles before engaging with and/or sharing information with such profiles. We will never ask you for your user password or your personal details on our social media platforms.

13.2                 There may be instances where our website features social sharing buttons, which help share web content directly from web pages to the respective social media platforms. Social sharing buttons should be used at your own discretion and you accept that doing so, may publish content to a social media profile feed or page.
